Can I Use an Outlook Calendar for the Phone Appointments?

Yes! We can send you a link for a shared Outlook study calendar so you can have direct access to it, see appointments, and even block appointment dates and times. We highly recommend you use the shared link instead of just subscribing to the calendar using an ICS link.

You will receive an email similar to the image below. Just hit the Accept button to add it on your Outlook Calendar. Also, make sure to select it to view the appointments and make edits.

What if I can't access the Outlook study calendar, is there any other option?

If you're using Outlook but can't access the study calendar, we've got you covered! We can give you a link to subscribe to a Google calendar instead. Once connected, phone screen appointments will show up in your Outlook calendar. By default, Outlook auto-refreshes every 30 minutes, but you can change this in your settings. Keep in mind that you can't block dates and times though. If you need to block specific times so participants can't book them, just let us know. We're here to help!


How to Subscribe Outlook to a Google Calendar

  1. Obtain your study calendar's Secret iCal address from us at Trialfacts.
  2. In Outlook, click File > Account Settings > Account Settings.
  3. On the Internet Calendars tab, click New.
  4. Copy and paste the address you obtained in step 1, into the textbox, and click Add.
  5. In the Folder Name box, type the name of the calendar as you want it to appear in Outlook, and then click OK.


When you launch Outlook, it checks Google Calendar for updates and downloads any changes. 


Note: Any changes you make in Outlook are NOT sent to your Google Calendar. To update your Google calendar, open Google Calendar from a browser. If this is not possible, you can email Trialfacts to make the changes for you.


Can I manually update the appointments on my calendar?

Yes but, by default, the Outlook sync updates every 30 minutes, this can take longer depending on your current setup. 

To manually update sync, click Send/Receive All Items button on the menu bar or press F9 on PC.

Alternatively, you can also set the auto-update time and make the interval faster by doing the following:

1. Open Outlook and click Send/Receive button

2. Click Send/Receive Groups dropdown and select Define Send/Receive Groups

3. Under All Accounts, click on Schedule an Automatic Send/Receive every 

4. Change the value of minutes to a smaller number you prefer

To make sure that your calendar is included in the update, please do the following:

1. In the Send/Receive Groups dialog, click Edit button

2. In the left hand side, make sure that your email is marked

3. Under Folder Options, ensure that your calendar folder is marked.

4. Click Apply.
