Setting Up The Promotional Material
Here's a brief summary of the steps to setting up the promotional material:
1. Completing the Onboarding Form and Contact Information Form
- Review the Onboarding Form and answer the questions regarding the following:
- Study Team Members and Study Details
- Benefits and Impact of the Study being conducted
- Persona Building for the audience of our advertisements
- Fill Out the Contact Information Form with the following information
- Name, role, and contact information of your Study Team Members
- Materials they need access to (Promotional Materials, Reporting access with PII/PHI, Calendar, Referral Email Notifications)
- Available Times for Phone Screeners and further details for the Phone Appointments (i.e., appointment length and phone screener’s capacity)
2. Book an Alignment Call with your Account Coordinator
- After filling up the above forms, book an Alignment Call with your Account Coordinator. This call will help our team develop your Promotional Materials
- You will discuss the following:
- You Recruitment Experience
- Study Overview
- Persona for our Ads
- Phone Screen Appt System & Contact Details
- Enrollment Funnel Details
- What to Expect from the Promotional Materials
- Special needs of this study
- Trialfacts Resources and Next Steps
- Once you have gone over these details, we will forward the information to our copywriters to begin developing the Promotional Material.
3. Receive your Promotional Materials for Review
- Within 5 business days from your Alignment Call, we will send you the first draft of your Promotional Materials for review:
- Please fact-checking the web ad, prescreening questionnaire and other materials
- You may provide your feedback as comments on the Google Document
- We will return a revised copy based on your comments within 2 business days
- Once you accept the revised Promotional Materials, we will ask you to submit them to your Ethics/IRB for approval.
4. We will begin setting up the web ad, prescreening questionnaire and other advertising materials
- While we wait for the approval from your Ethics/IRB we will begin coding the materials for recruitment
Note: the web ad will be designed in such a way to get the best results. It will include:
- A descriptive headline
- A simple and clear outline of the study that minimizes medical jargon where possible
- Primary eligibility criteria
5. Book a Kick-Off Call with your Account Coordinator
- Once these coded materials are set up and sent to you, book a Kick-off Call with your Account Coordinator
- During this call, you will:
- Test the Web Ad, prescreening questionnaire, study calendar and other materials
- Confirm all identified access for your team members is granted
6. Getting Ethics/IRB approval
- Once we receive your Ethics/IRB approval we will:
- Update the coded materials as needed (for any changes requested by the committee)
- Launch Advertisements within the next 48hrs to begin recruitment
- You will receive the first referrals shortly thereafter
