Using Outlook for Phone Appointments

Trialfacts offers two study calendar options - Google Calendar or Outlook.

If you choose to use Outlook, you will receive an email from Trialfacts that will include a link to accept and view the study calendar in Outlook.

Blocking the Study Calendar from the Desktop (PC) App

Please note that the study calendar is separate from your personal calendar. If you have meetings on your personal calendar, it will not block the study calendar.

In the event that Outlook does not sync properly and asks for a license (if it is not detected by the system) - you can still view the calendar in the web app by signing in to Outlook website.


The study calendar can be blocked as you would block any Outlook calendar, or by following the steps  outlined below:

  1. Open the study calendar and click: Home > New Appointment to create a new appointment.
  2. In the new appointment window:
    1. type the subject as needed
    2. specify the date range you will not be available in the Start time and End time boxes (and if applicable check the "All day event" option) 
    3. set "Show As" to "Busy"

3. Make other changes as needed, and click Save & Close to save the event. This will block the booking page during the date and/or time you set.

*If you wish to change your availability permanently, please update your onboarding document and inform us through email so we can update your booking page accordingly.


Blocking the Study Calendar from Outlook Web App

If you are using the Outlook Web App, you will need to click on the calendar menu to see your study calendar.


Please ensure to tick the checkbox of the study calendar for the appointments to be visible, and follow these instructions to block the Outlook study calendar:

  1. Double click on the date on the calendar you wish to block.
  2. Make sure you select the correct study calendar in the dropdown.


  3. Type the event name and check other details such as the date and time you want to block.
    1. By default, it will be set to all day, so if you want to block just specific hours, make sure you indicate the start and end time. 
    2. Also make sure that the event is marked as Busy in the calendar.


4. Click Save.
